Impera AI FZ-LLC ("Impera AI", "we", "us", or "our") is the data controller for personal data processed through our website and marketing activities. Where we process personal data on behalf of our clients in connection with the Impera AI platform, we act as a data processor on their behalf.

- (c) Platform users — authorised employees or representatives of a Client organisation who access the Impera AI platform on behalf of their employer.
This policy does not cover third-party websites or services we may link to. We encourage you to read the privacy policies of any third-party sites you visit.

Website Visitors
When you visit our website, we may automatically collect:

Enquiry and Contact Forms

Platform Users
For authorised users of the Impera AI platform, we collect and process:
- Name and work email address
- Usage data and activity logs within the platform
- Call recordings and transcripts, where this feature is enabled by the Client
- CRM data, pipeline data, and other business information entered into or connected to the platform by the Client
Processing of Client data is governed by the data processing agreement (DPA) in place between Impera AI and the relevant Client organisation.

4. How We Use Your Data
We use the personal data we collect for the following purposes:
- To respond to enquiries and arrange discovery calls
- To deliver, maintain, and improve the Impera AI platform and related services
- To send relevant product updates, news, and commercial communications (where you have given consent or we have a legitimate interest in doing so)
- To fulfil our legal and regulatory obligations
- To detect, investigate, and prevent fraud, abuse, or security incidents
5. Legal Basis for Processing (GDPR / UAE PDPL)
Where applicable data protection law requires us to identify a legal basis for processing, we rely on the following:
- Contract performance — processing necessary to deliver our services to Clients under our subscription agreement.
- Legitimate interests — responding to enquiries, improving the platform, maintaining security, and other business operations where our interests are not overridden by your rights.
- Consent — sending marketing or promotional communications where we have asked for and received your agreement.
- Legal obligation — compliance with applicable laws and regulations, and maintenance of records as required.
6. Data Sharing
We do not sell personal data. We may share your data with the following categories of third parties:
- Cloud infrastructure providers (such as AWS, GCP, or Azure) for hosting and data storage
- CRM and communication tools used in our operations, under appropriate data processing agreements
- Professional advisers including legal counsel and financial advisers, where necessary
- Regulatory authorities and law enforcement, where we are legally required to do so
All sub-processors engaged by Impera AI are bound by appropriate contractual data protection obligations consistent with applicable law.
7. International Data Transfers
Impera AI FZ-LLC is incorporated and based in the United Arab Emirates. Where we transfer personal data to countries outside the UAE or the European Economic Area that do not benefit from an adequacy decision, we ensure appropriate safeguards are in place, such as standard contractual clauses (SCCs), adequacy determinations, or equivalent mechanisms, in accordance with applicable law.
8. Data Retention
We retain personal data only for as long as necessary for the purposes described in this policy. Our standard retention periods are:
- Website analytics data: 26 months from collection
- Enquiry and contact data: 2 years from the date of last contact
- Platform Client data: retained for the duration of the active subscription plus 90 days; data is then securely deleted or returned to the Client on request
- Legal and financial records: 7 years, as required by applicable law
9. Your Rights
Depending on your jurisdiction, you may have the following rights in relation to your personal data:
- Access — to request a copy of the personal data we hold about you
- Rectification — to ask us to correct inaccurate or incomplete data
- Erasure — to request deletion of your personal data in certain circumstances
- Restriction — to ask us to restrict processing of your data
- Portability — to receive your data in a structured, machine-readable format
- Objection — to object to processing based on legitimate interests
- Withdrawal of consent — to withdraw any consent you have given at any time, without affecting the lawfulness of processing before withdrawal

10. Children
Impera AI is a business-to-business (B2B) platform. Our services are directed solely at businesses and their authorised personnel. We do not knowingly collect or process personal data from individuals under the age of 18. If we become aware that we have inadvertently collected such data, we will take steps to delete it promptly.
11. Security
We implement appropriate technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure, or destruction. These measures include encryption in transit (TLS) and at rest, role-based access controls, and regular security reviews.
While we take security seriously, no method of electronic transmission or storage is completely secure. In the event of a data breach that is likely to result in a risk to your rights or freedoms, we will notify affected parties and relevant authorities as required by applicable law.
